Privacy Policy

Vesper Technologies Inc. (“Vesper,” “we,” “us,” “our”) builds AI-assisted interview software that employers use to screen and engage job applicants. Protecting the privacy and security of personal information is fundamental to how we design, sell, and operate our services. This Privacy Policy describes what information we collect, how and why we use it, the circumstances in which we disclose it, and the choices and rights available to you. It forms part of Vesper’s overall privacy-and-security framework, together with the documents in our Trust Center which includes our Terms of Service, Data Processing Addendum and AI Interview Consent. By visiting our public websites or taking an interview on our platform you acknowledge the practices described here.

1. Scope and roles

Vesper operates two online environments. The first is our public marketing presence at askvesper.com and hirevesper.com (the “Website”), for which Vesper is the data controller. The second is the interview application at app.askvesper.com (the “Platform”). When a candidate uses the Platform, the employer that created the vacancy (the “Hiring Company”) is the controller of interview data and Vesper acts as its processor. Vesper is also an independent controller for a narrow set of purposes, namely service security, integrity, limited de-identified analytics that help us measure accuracy and equity, and compliance with law.

2. Personal information

Personal information” means any information about an identifiable individual. Data that has been irreversibly aggregated or anonymised so that no individual can be identified is not personal information.

3. Information we collect

When you take an interview on the Platform we record the audio and video of your answers, generate a text transcript, and log basic technical details such as IP address, browser, and time stamps. We also hold the application data supplied by you or by the Hiring Company such as your name, email address, résumé/ CV, the job-requisition identifier, and scheduling information. Our scoring engine creates evaluative outputs such as overall and per-criterion scores, rankings, and benchmark summaries. If the Hiring Company asks for voluntary demographic questions (for instance to monitor equal-opportunity programmes) we process those responses as well. We do not intentionally collect special-category or sensitive information such as health data, union membership or religious beliefs. Candidates should avoid including such details in responses; if they are provided, we will handle or delete them in accordance with applicable law. Crucially, we do not run facial-recognition, face-geometry, or emotion-detection algorithms; our AI examines only your spoken responses. Because the Platform does not apply AI analysis to video images, the Illinois AI Video Interview Act does not apply to our processing.

We use an analytics service to understand how visitors use our site and a session-replay tool that masks form fields to improve user experience. Advertising/remarketing cookies run on the Website only after you consent through our cookie banner; no advertising technologies operate inside the Interview Platform.

A full, current list of analytics and advertising vendors is always available in our Trust Center.

4. How and why we use personal information

We process interview recordings, transcripts, and scores on the lawful ground that doing so is a reasonable step you expect when you apply for a job and, under the EU/UK General Data Protection Regulation, because it is necessary to perform or enter a contract with you (Article 6 (1)(b)). Vesper’s independent activities—keeping the service secure, preventing fraud, running de-identified statistical checks for fairness and accessibility, and keeping legal records—are handled under our legitimate interests (Article 6 (1)(f)). Marketing e-mails or SMS notifications are sent only with your express consent, satisfying Canada’s Anti-Spam Legislation (CASL) and GDPR Article 6 (1)(a). We never use interview content for targeted advertising and we never sell or rent personal information.

5. Cookies and analytics

Essential cookies keep sessions secure and remember choices. Non-essential cookies (analytics and advertising) load only after you click “Accept” on our cookie banner. Visitors in the EEA, the United Kingdom, and Québec can refuse or later withdraw consent through the banner’s settings link. Blocking analytics cookies does not affect your ability to take an interview.

6. SMS messages

Some Hiring Companies ask Vesper to deliver interview invites or reminders by SMS. Those texts are sent only to candidates who opted in during the application process, cover logistics only, and can be stopped at any time by replying STOP (standard carrier rates may apply).

7. How we share information

Interview recordings, transcripts and scores are shared only with the Hiring Company and its authorised users. We also engage a limited number of cloud-infrastructure, storage, communications and analytics providers to operate the service. Every provider is bound by a written data-processing agreement and may use information only to deliver its service to us. A current list of sub-processors is always available in our Trust Center. We disclose personal information to public authorities only when the law requires us to do so.

8. International compliance and transfers

Vesper complies with all privacy and anti-spam laws that apply to us, including Canada’s PIPEDA and substantially similar provincial statutes, Québec’s Law 25, the U.S. state privacy acts that cover employment data, and—when we process European data—the EU GDPR and UK GDPR. Interview content is ordinarily stored on servers located in North America (Canada and the United States) and is protected by industry-standard confidentiality and security safeguards. Because many Hiring Companies operate globally, personal information may be accessed from, or moved to, other regions as part of their recruitment workflows. Whenever personal information leaves North America, Vesper relies on a recognised transfer mechanism—typically the EU Standard Contractual Clauses and, for the UK, the International Data Transfer Addendum—or another adequacy arrangement—and applies technical and organisational protections that are at least equivalent to those described in this Policy. Our Trust Center explains the specific safeguards, lists any Article 27 EU/UK representatives we appoint, and makes Transfer Impact Assessments available on request. Hiring Companies that choose to store or export candidate data in additional locations do so as independent controllers and are responsible for meeting the transfer rules that apply to them.

9. Data Retention

Vesper keeps personal information only for as long as it is needed for the purposes set out in this Policy or as instructed by the Hiring Company, unless a longer period is required by law or justified by a legitimate business need. Interview recordings, transcripts and AI scores are retained while the Hiring Company’s account remains active and are removed or permanently de-identified once they are no longer required or upon the Hiring Company’s direction. Website-lead information is held for the duration of our relationship with you and is deleted or anonymised when it is no longer necessary. Data that have been irreversibly anonymised may be kept for statistical, security or compliance purposes. Backup copies are retained only for disaster-recovery and are not used for any other purpose.

10. Security of Personal Information

Vesper protects personal information with administrative, technical and physical safeguards that align with widely accepted industry-security standards. Our security programme encompassing encryption, controlled access, monitoring and regular testing, is reviewed and improved on an ongoing basis. If a security or confidentiality incident ever occurs, we will notify affected customers promptly and within the time-frames required by applicable law.

11. Your privacy rights

The privacy legislation that applies to you depends on where you live. Regardless of jurisdiction, we will always respect a valid request and respond as promptly as we can.

To exercise any of these rights please begin with the Hiring Company, which is the data controller for interview information. If you cannot reach the Hiring Company,or if your request concerns data collected on our public websites, you can email privacy@askvesper.com. We will acknowledge your request promptly and handle it in accordance with the timelines set by the privacy law that applies to you. We aim to complete verified requests within one month (30 days) or any shorter period mandated by local law.

12. Children

Our websites and services are intended for use only by individuals who are at least 18 years old (or the age of majority in their jurisdiction). We do not knowingly collect personal information from anyone under this age.

13. U.S. consumer-reporting notice

Vesper is not a consumer-reporting agency under the U.S. Fair Credit Reporting Act and does not furnish “consumer reports” to multiple employers.

14. Changes to this policy

We may update this Privacy Policy from time to time. When we do, the “Last updated” date will change and, if the changes are material, we will provide a more prominent notice. Continued use of our websites or services after an update takes effect constitutes acceptance of the revised Policy.
